Privacy Policy

This policy covers the TiAiMe app on iOS and Android, the TiAiMe web application at tiaime.com, and all supporting services.

1. Who We Are

TiAiMe is an AI-powered life coordination platform for modern families, based in Dublin, Ireland. We are the data controller for all personal information collected through the TiAiMe app and its supporting services.

Time is the currency of life. TiAiMe exists to help families spend it on what matters most.

2. What This Policy Covers

This policy applies to:

  • The TiAiMe app on iOS and Android, and the TiAiMe web application at tiaime.com
  • All data processed when you use TiAiMe, whether on the app or via a web browser, including voice interactions, calendar and contact sync, family coordination, and push notifications
  • Data processed by our sub-processors on our behalf

This policy does not cover third-party services you connect to TiAiMe, such as Google Calendar or Microsoft Outlook. Those services have their own privacy policies.

3. What We Collect and Why

We collect only what we need to provide the TiAiMe service. The table below covers every category of personal data we process, why we process it, and the legal basis under GDPR.

Calendar data (Google and Microsoft Outlook)We connect to your calendar with read and write access. We import your events to help coordinate your schedule and, only when you ask, create or update events on your calendar. Legal basis: Consent (Art. 6(1)(a)).
ContactsIf you choose to sync your contacts, we use them to help you set up your family and support network. Legal basis: Consent (Art. 6(1)(a)).
Family and household dataSchedules, routines, Time Events, household tasks, and family composition. This is the core of what TiAiMe does. Legal basis: Contract (Art. 6(1)(b)).
Children's data (Members under 16)Where you add a child as a Member, their schedule and activity data is processed solely to support family coordination. The Organiser controls all access. Legal basis: Contract (Art. 6(1)(b)) with Organiser consent.
Sensitive informationTiAiMe does not ask for sensitive personal information such as health conditions or religious beliefs. If you choose to share something sensitive during a voice interaction, we will ask for your explicit consent before processing it further. Legal basis: Explicit consent (Art. 9(2)(a)).
Push notificationsReminders, conflict alerts, and coordination updates. Legal basis: Consent (device-level permission).
Device and technical dataDevice type, operating system, browser type and version, and crash diagnostics to keep TiAiMe working reliably across all platforms. Legal basis: Legitimate interests (Art. 6(1)(f)).
Subscription and billing dataPayment processing for your subscription. Legal basis: Contract (Art. 6(1)(b)).

We never collect more than we need. We never sell your data. We never use your data for advertising.

4. Google Calendar and Contacts Data

TiAiMe accesses your Google Calendar and Google Contacts only if you choose to connect them. Here is exactly how we handle that data.

5. AI Services We Use

TiAiMe uses AI to help coordinate your family life. Here is what we use and how your data is handled.

ElevenLabs (voice)ElevenLabs is our voice partner. It is the only service that ever touches your raw voice audio: it captures what you say, transcribes it to text, and delivers TiAiMe's spoken response. The assistant's conversational replies are generated by Anthropic's Claude Haiku 4.5 model, provided through ElevenLabs, which works from the transcribed and masked text (see Section 6) and never from your raw audio. ElevenLabs and Anthropic never use your data to train their own models, regardless of your choices below. Separately, if you opt in to “Help improve TiAiMe” during onboarding, TiAiMe may use de-identified voice clips and conversation transcripts to improve its own AI features; declining means this data is never used for that purpose. ElevenLabs is based in the US and is certified under the EU-US Data Privacy Framework; a Data Processing Agreement is in place. Voice data is retained for the shortest available period.
AWS Bedrock - Amazon Nova (reasoning) and Amazon Titan (text embeddings)For backend tasks, TiAiMe uses AWS Bedrock: Amazon Nova for reasoning (scheduling suggestions and conflict detection) and Amazon Titan for text embeddings that power assistant memory and semantic recall. AWS Bedrock is hosted in the EU region and does not retain prompts or outputs after processing. Your data is never used to train these models.
What AI never doesTiAiMe's AI never makes a decision without your approval. It surfaces suggestions and coordinates. You decide whether to accept, adjust, or decline everything it proposes.

6. How We Handle Your Data in the AI Layer

TiAiMe is built so that the less data our AI needs to see, the less it sees. We apply two complementary approaches - pseudonymisation and anonymisation - depending on what the data is used for.

Pseudonymisation - for data the AI acts onBefore information is sent to an AI model, we mask personal details: we pass a user ID rather than your actual name or personal details, so the model can process your request without directly identifying you. There are two exceptions: (1) if your name already forms part of an event title or other content you created, it may be included as part of that content; and (2) if you state your name during a conversation with the TiAiMe assistant, it may be included in that interaction. Aside from these cases, we share only user IDs or masked data.
Anonymisation - for data used to improve the serviceWhere data is used for quality review, research, or - for users who opt in to “Help improve TiAiMe” - AI improvement, it is fully anonymised before it leaves TiAiMe's control. All identifying details are removed. It cannot be linked back to you.
No raw transcripts storedAfter a voice session, the structured outcome (a confirmed event or an updated routine) is written to TiAiMe's database. The voice transcript is stored securely in object storage, separate from the main database, for a limited period; see Section 11 for retention.
AI models receive the minimum neededThe AI does not receive raw audio or your contact details. Personal identifiers are masked to a user ID before processing; the only cases where your name may reach the model are where it forms part of event text you created, or you state it during a conversation. Otherwise the AI receives a structured, masked summary of what it needs, nothing more.

7. Sensitive Information

TiAiMe is a life coordination tool. We do not ask for sensitive personal information such as health conditions, religious beliefs, or similar. We never need it to do our job.

We know that when people talk naturally, sensitive details can sometimes come up. Here is what we do when that happens.

We ask you not to over-shareDuring onboarding and in-app guidance, we ask users to share only what is needed to coordinate. The less you share, the less risk there is.
We focus on the action, not the detailIf something sensitive comes up, TiAiMe extracts only what it needs to coordinate - "doctor visit on Thursday" rather than the nature or reason behind it. The sensitive detail is not stored.
We ask for your consentIf TiAiMe detects that sensitive information has been shared, it will ask for your explicit consent before processing it further. You can decline and TiAiMe will work with the non-sensitive elements only.
You are always in controlYou can withdraw consent for sensitive information processing at any time from Settings > Privacy.
What we never doWe never build a health profile, a religious profile, or any sensitive category profile of you or your family members.

8. Children's Data

TiAiMe is designed with children's safety at the centre. The Member role is TiAiMe's protected role for children under 16.

Who controls a child's accountThe Organiser - a responsible adult - creates and controls every Member account. A child cannot be added without the Organiser's action.
What a child can seeMembers see only their own Time Events and data. They cannot see other family members' private data or information outside events they have been included in.
What a child can doMembers can view and respond to Time Events they have been added to. All requests from a Member require Organiser approval before any action is taken.
VoiceDuring the pilot, children in the Member role use TiAiMe in a listen-only mode: the assistant delivers spoken responses to them, but their own voice is never captured or sent to ElevenLabs or any other voice processing service. Voice sessions are initiated and controlled by the Organiser, and any action on a child's behalf requires Organiser approval, so a child's audio never reaches any AI model.
Data minimisationWe collect only what is needed to coordinate a child's schedule. We do not build profiles of children beyond what is needed for family coordination.
Transition at 16When a Member turns 16, TiAiMe prompts the Organiser to transition them to a Participant role. This is not automatic - the Organiser confirms the change.
Age verificationThe Organiser confirms their adult status at registration. We are keeping our age verification approach under active review in line with evolving best practice and regulatory guidance.

9. Who We Share Your Data With

We do not sell your data. We do not share it with advertisers. We share data only with the sub-processors listed below, each bound by a Data Processing Agreement with TiAiMe.

10. International Data Transfers

Some of our sub-processors are based outside the European Economic Area, and our application database is hosted in the UK. Where data is transferred outside the EEA, we ensure the appropriate safeguards are in place; the UK is covered by the UK adequacy decision.

11. How Long We Keep Your Data

When a retention period ends, we permanently delete your data or anonymise it so it can no longer identify you.

12. Deleting Your Data

You have the right to request deletion of your personal data at any time.

You can request deletion at any time from our Account & Data Deletion page, or by emailing privacy@tiaime.com with the subject line “Data Deletion Request”. We will complete the deletion within 30 days.

Deletion covers your account data, family data, voice processing records, and calendar and contact data held by TiAiMe and its sub-processors. Some data may be retained beyond this period where we have a legal obligation to do so, for example fraud prevention or regulatory compliance. We will tell you if this applies.

13. Your Rights

Under GDPR, you have the following rights. To exercise any of them, email privacy@tiaime.com with the subject line “Data Subject Request”. We will respond within one month.

If you are not satisfied with how we handle your data, you have the right to complain to the Data Protection Commission (Ireland) at dataprotection.ie or info@dataprotection.ie.

14. Keeping Your Data Safe

TiAiMe is a secure, private, closed network. Here is what that means in practice.

  • All data in transit is encrypted using HTTPS/TLS.
  • Your family data is stored in a secure database hosted in the UK (London region), covered by the UK adequacy decision, with row-level access controls enforced at every query.
  • Only the people you invite can see your family data. People only see what they have been included in.
  • Structured outcomes are written to TiAiMe's database after a voice session. Voice transcripts are held in secure object storage for a limited period only (see Section 11), not in the main application database.
  • AI models receive only the minimum information needed to help you.
  • Human approval is required for everything. TiAiMe never acts without your say-so.
  • Access to production data is restricted to authorised personnel under a Data Processing Agreement.
  • If a data breach occurs that puts your rights at risk, we will notify the Data Protection Commission within 72 hours and inform affected users without undue delay.

15. Automated Decision-Making

TiAiMe uses AI to detect scheduling conflicts and suggest resolutions. This is advisory only. TiAiMe never makes a decision with a legal or similarly significant effect without a human approving it first. You approve, adjust, or decline everything the AI proposes.

16. Cookies and Tracking

The TiAiMe app and web application do not use advertising cookies or third-party tracking technologies. We do not profile you across sites, run behavioural advertising, or sell data to advertisers. The TiAiMe website uses strictly essential cookies only - those required for the site to function - and displays a cookie notice.

17. Changes to This Policy

We will update this policy when our app or data practices change. The date at the top shows when it was last revised. If we make a material change that affects your rights, we will notify you by email and in-app at least 14 days before the change takes effect.
